The Role

We’re on the lookout for an Administrative Assistant to join our award-winning New-Build Conveyancing team at Switalskis. This role provides key administrative support in a dynamic, fast-paced, and digitally advanced legal environment.

As part of a highly regarded team recognised nationally in 2024 & 2025  for outstanding client service, you’ll play a vital part in ensuring smooth, efficient onboarding and progression of both purchase and sale conveyancing matters.

Key Responsibilities

Purchase Matters

·       Act as “Front of House” - taking initial instructions and issuing accurate quotations

·       Support clients with digital onboarding and perform checks on completed ID verifications

·       Process draft contracts and forward copies to clients

·       Apply for searches and input key details into our team task list

·       Prepare and dispatch exchange documentation and activate home warranty certificates

Sale Matters

·       Manage the onboarding process for sellers

·       Review replies to property information forms

·       Process memoranda of sale for open market properties

·       Download and conduct basic checks on clients’ existing property titles

·       Issue contract packs to buyers’ solicitors

·       Identify and address title-related matters such as restrictions, nearly new homes, name discrepancies, and management company issue

 

What You’ll Bring

·       Excellent communication skills, especially when assisting clients new to the conveyancing proces

    WHAT YOU'LL BE DOING 

    ·       Answering and directing incoming phone calls and other communications

    ·       Organising refreshments for meetings and supporting internal events

    What is expected of you?

    To work closely in a mini team led by a Senior Associate /Director, assisting on complex and high value clinical negligence claims, while also maintaining a caseload of lower complexity and value, across all types of clinical negligence work.

    What Will the role involve?

    We have a number of fee earner positions available within our Clinical Negligence teams based at our office in York or Doncaster. 

    All positions are ideally full-time, but part-time applications will be considered.

    The role will involve working in a mini team led by a Senior Associate / Director, assisting on complex and high value clinical negligence claims, while also maintaining a caseload of lower complexity and value (depending on the successful candidate's skills and experience), across all types of clinical negligence work.

    On their own cases, the successful candidates would of course be closely supervised, supported, and trained by more experienced colleagues.

    Experience required

    We will consider applicants who are qualified solicitors, trainee solicitors or legal executives with experience of running their own files. We will also consider those with experience of either Claimant work or Defendant work.

    What you will bring

    You should have experience of conducting clinical negligence claims, or a demonstrable enthusiasm for the work. In addition, we are looking for candidates who can demonstrate the following:

    • An ability to learn quickly, to absorb, process, and understand large volumes of highly technical material, and then explain that information in a simple way to others.
    • The ability to understand and apply complex and novel legal concepts and be able to explain those in a straightforward manner, particularly to clients.
    • Excellent written and spoken communication skills.
    • A successful candidate will be a team player, well organised, and able to manage competing priorities and time pressures.
    • Familiarity with Microsoft Office (Particularly Outlook, Word and Excel), case management software, and experience of time recording.

    The Role

    We are looking for a proactive and organised Conveyancing Assistant to join our well-established property team. You’ll provide vital support to our fee earners, helping to ensure smooth and efficient progression of residential sale and purchase transactions from instruction to completion. You’ll become part of a friendly, close-knit team known for delivering high standards of client care and legal expertise.  The role is predominantly office-based, with occasional opportunities to work from home, and can be based at our Sheffield office.

    Our Conveyancing department was recently highly commended securing the Residential Property Team of the year category at the British Conveyancing Awards 2025, recognising excellence and innovation in the field.

    Key Responsibilities

    • Assist fee-earners in managing a varied caseload of property transactions from start to finish.
    • Prepare and issue initial documentation to clients in a timely manner.
    • Communicate effectively with clients, estate agents, solicitors, and mortgage lenders at every stage of the transaction.
    • Conduct property searches and assist with client on boarding.
    • Provide administrative support, including data entry and file management.
    • Monitor the progress of cases and proactively follow up to ensure files are moving forward as required.
    • Ensure all files meet regulatory compliance standards.
    • Deliver excellent service to clients by providing regular updates and keeping them informed throughout the process


    What You’ll Bring

    • Previous experience working within a Conveyancing role or similar (Essential)
    • Strong communication skills, with the ability to work effectively both independently and as part of a team.
    • Ability to manage a busy workload and work well under pressure.
    • A keen eye for detail and a high level of accuracy.
    • IT literate, with experience using relevant software.
    • Friendly, approachable, and professional, in line with our company values, with a welcoming attitude to both clients and colleagues.

    I’ve always known I wanted to help people but ruled out several professions before deciding on law. The first seat of my training contract was in commercial property, working between the Leeds and Knaresborough offices. I found the work very interesting especially drafting documents. I recently moved to the clinical negligence team, for my second seat, which I am finding both stimulating and challenging.     There’s not a typical day in the Court of Protection, and that’s what I love most about it. Each client is so different and so we need to be able to take each client as they come to try and work out what will be best for them and how best to achieve it. I love travelling and meeting the clients but there is also lot of time in the office - preparing advice, drafting documents, and attending court, as many of our hearings are still being heard remotely.
